Introduction

Yuman is a modern and easy to use CMMS that will allow you to track the equipment you are responsible for, manage your corrective maintenance as well as your preventive maintenance through reports issued by technicians on site or in mobility. 

The CMMS also allows you to manage your stock and to obtain statistics on your interventions. Finally, we also have financial modules that allow you to invoice interventions, draw up estimates, or manage contracts. Let's discover it together! 

Inventory of assets

Let's start with the "properties" tab, which is our database. This is where we will find information about the customers, the sites and the equipment. So the customers are the people or entities that you will invoice and the sites are the places where you will intervene. As for the equipment, these are the machines that you will have to maintain and you will be able to create sub-equipment to detail an installation. Note that all these data are fully customizable and you can add additional custom fields to create the data sheets of your equipment. These data will also be consulted by the technician in intervention. The equipment will allow us to manage our curative maintenance as well as our preventive maintenance.

Management of interventions

To create an intervention, in particular a repair, you can start directly from the technical file of the equipment or you can go to the planning and choose a time slot or an available technician. 

Don't hesitate to consult the map if you need to group the equipment geographically. Creating a new intervention is very simple: you can fill in the name of the customer, the site and the equipment concerned and enter the request to be sent to the technician. If you already know which items to use, you can add them at this time. When the intervention has been assigned to a technician with a scheduled time and duration you can finish and save. The technician is then automatically notified that a new intervention has been assigned to him. 

The mobile application

For the mobile application, the Yuman CMMS is a web APP which means that there is no download required: you log in with a login and password on the phone browser. The CMMS also has an offline mode that allows technicians to continue entering information even without an internet connection. The synchronization will be done in a second time when the connection returns. 

On his mobile, the technician has the list of interventions to be done for the day, he can click on the intervention, launch the GPS if necessary and consult the information transmitted by his manager. Pressing the Start button and the Stop button at the end of the intervention allows the recording of the working time that you will find on the intervention order, but also on the time sheets. The technician can then document his report, i.e. add photos, he can also add the items used with the quantities in stock displayed, he can complete his report and the custom fields. 

Do not hesitate to add lists of options or check boxes to guide the technician in his intervention. Finally he can collect a signature. When the intervention is finished, he can create a new visit, a follow-up visit, possibly send a quote request to his manager or simply close the intervention and move on to the next one. The completed intervention is automatically synchronized with the CMMS at the office and you have a PDF report with the information entered by the technician. Thus from the creation of the intervention on the schedule to the treatment by the technician and the establishment of the report in PDF format no re-entry is necessary!

The management of preventive

Let's look at the management of preventive maintenance, the Yuman CMMS allows you to create your maintenance schedules, your checklists to perform and to create maintenance plans including the equipment, the range and the periodicity to respect. 

You can then periodically generate all preventive interventions due for a given period. You can place them directly in the schedule or leave them in open status. For the technician, the management of a good preventive intervention is very similar to that of a curative intervention, he finds the range of maintenance in the form of boxes to be checked on his mobile. The calendar will be updated and will turn green. Of course, you have a report in PDF format at the end of the preventive intervention. 

The management of spare parts

Yuman CMMS also allows you to manage your stock, several configurations are possible: you can have a stock at your customer, a stock on site or a stock called "technicians" which represents what is stored in the vans. 

In the CMMS, you have the list of articles and spare parts that you will need most regularly. You can create QR codes for your items, which will allow you to search directly by scanning the QR code. The items used in intervention are automatically deducted from the stock and you find in the journal all the history of stock movements made.

Yuman CMMS also allows you to create your purchase orders, that is to say the listing of items to be restocked that you can send directly by email to your supplier or to an internal purchasing department. Once the order is received, simply mark the purchase order as received to automatically update the stock level.

The financial part: invoices, quotes and contracts

Let's now discover the financial part of Yuman including billing. The Yuman CMMS allows you to invoice a curative intervention once it is completed by calculating the travel time, the cost of labor and the cost of spare parts used, the invoice is ready in an instant. 

You can also invoice a maintenance or an estimate. Once the invoice is generated, you can export it to your accounting software. You will have understood the CMMS Yuman will also allow you to manage your quotes. You can create them as you wish or follow your templates. The estimate once sent to the customer and accepted will allow you to create the corresponding intervention and the invoice without any re-entry necessary. 

Yuman also allows you to manage your maintenance contracts. For the operational part it is what we have seen previously with the maintenance plans. For the financial part, there are several possibilities: you can bill directly after the intervention or bill according to a periodic fee, for example monthly or annually. You can also invoice according to the number of tasks performed or the number of equipment checked.

The CMMS also manages your contract dates and you can apply revaluation formulas thanks to indices. 

Conclusion

To conclude, I would like to present you the KPI and statistics part of the application. The CMMS automatically calculates the operational indicators, so you can follow in real time the progress of your day and the time spent in intervention. And you also have a more global view you can have ratios such as the ratio preventive / curative, the coverage rate of preventive, but also more precise data on the time of technicians, time spent in intervention compared to travel time. Of course all data can be calculated according to a customer, a site, an equipment, a technician or a team. You have clear indicators directly calculated within the CMMS. To conclude Yuman is a customizable CMMS you will be able to define your account preferences and keep only the information you need and add custom fields specific to your business.
