How to compare CMMS prices?
Thursday 23 april 2020
It's decided. You're buying a new CMMS for your company or department. It will replace your old software or replace the maintenance module of your expensive ERP that still doesn't offer any mobility solution for your technicians despite your requests to the integrator, or this new CMMS will replace WhatsApp or Snapchat.
Don't smile, we know companies that hijack these instant messaging systems to try to manage their technicians. Hello the damage to team productivity. 😉 You may not have any of that and are still stuck with paper work orders that end up in the back of the bunks while you lose customers, or you have a bunch of scattered Excel files in place ... Anyway no need to convince yourself, it's already done, you know you need a new CMMS.
If you get out of your ERP you will inevitably make savings ... well, if it is amortized, otherwise you will still have to pay until the end of its amortization. If this is the case, budget is not one of your priority criteria and you can go straight to a CMMS to try the solution without waiting.
On the other hand, if you finally give up paper and your free email application, if you don't take into account the money you've been losing for months or years, then you'll have to switch to a paid service. You felt like you were spending nothing until now to manage your technical team and follow the life cycle of the equipment you are responsible for. Are you concerned about the budget you will have to spend on this from now on? Then reading this article will be very rewarding.
Tips and Tricks
We are not going to list here all the CMMS solutions that can be found on the European market, list their functionalities, present their prices ... We will do much better, by giving you all the tips and tricks that you can apply directly to the few solutions you will try.
You will have the toolbox to evaluate yourself the financial proposals you will receive.
We'll share our knowledge of the sector with you and show you how to spot the traps still set by the vast majority of CMMS software publishers. The market has not yet been completely cleaned up, even if the trend is favourable: we can be optimistic and expect a major clean-up in the years to come in favour of the best CMMS solutions with transparent offers.
The 9 criteria for evaluating the price of a CMMS
Criterion 1 : the offer must be made via a subscription in SaaS form: this is the win/win ticket for a balanced and healthy long-term partnership between the customer and his publisher.
Criterion 2 : the price must be per user for a given period. Ideally per month and must include everything. This is the most accurate and fairest indication to measure the real use of the software you are going to adopt.
Criterion 3 : prices must be published on the web through a price list page. Many CMMS publishers continue not to indicate their prices for fear of competition and to be able to do their own cooking with each customer. This is the best way to pay more than your colleagues. Those days are over. If the publisher does not make these prices public: run away!
Criterion 4 : there must be no price revision clause. Be very careful with this clause, which is often buried in contracts. The trend in software prices is downwards. Solutions are being democratized. There is no reason why in 2 years time you should pay more than today. Demand its removal immediately and reinforce your mistrust if you have discovered one.
Criterion 5 : the publisher's contract must be short, precise and any possibility of extension or price increase must be absent.
Criterion 6 : all licenses (managers, dispatchers, administrators and technicians) must be at the same price. Otherwise, this indicates either an ageing CMMS with reduced mobility (for solutions charging more for back-office licences), or a tool limited to managing interventions (for solutions charging only technicians).
Criterion 7 : the subscription price established per user per month and according to the modules you have selected, must be within a range of approximately 30 to 70 euros excluding VAT. Beyond that, you will pay too much, and you will pay less attention to the quality of the solution.
Criterion 8 : the price of the subscription must be all inclusive. it must include :
- The user licenses
- DataCenter Hosting premium
- Unlimited storage of your information, documents, photos, etc.
- 24/7 Server Monitoring
- Telephone support 5/7 8H-18H
- Application maintenance
- Provision of continuous improvements without service disruption
- A consultant dedicated to your company, who knows your specific needs.
Criterion 9 : if it is normal that CMMS implementation costs for your company are applied for the launch of the project, including application setup, data recovery and training, they must remain reasonable and be clearly stated.
The list is not closed because the imagination of sales people is limitless, but it covers 90% of the cases you will encounter. Any possibility of hidden or disguised costs must attract your attention and put your confidence in them.
