It's decided. You're buying a new CMMS for your company or department. It will replace your old software or replace the maintenance module of your expensive ERP that still doesn't offer any mobility solution for your technicians despite your requests to the integrator, or this new CMMS will replace WhatsApp or Snapchat.

If you get out of your ERP you will inevitably make savings ... well, if it is amortized, otherwise you will still have to pay until the end of its amortization. If this is the case, budget is not one of your priority criteria and you can go straight to a CMMS to try the solution without waiting.

The 9 criteria for evaluating the price of a CMMS
Criterion 1 : the offer must be made via a subscription in SaaS form: this is the win/win ticket for a balanced and healthy long-term partnership between the customer and his publisher.
Criterion 2 : the price must be per user for a given period. Ideally per month and must include everything. This is the most accurate and fairest indication to measure the real use of the software you are going to adopt.
Criterion 3 : prices must be published on the web through a price list page. Many CMMS publishers continue not to indicate their prices for fear of competition and to be able to do their own cooking with each customer. This is the best way to pay more than your colleagues. Those days are over. If the publisher does not make these prices public: run away!
Criterion 4 : there must be no price revision clause. Be very careful with this clause, which is often buried in contracts. The trend in software prices is downwards. Solutions are being democratized. There is no reason why in 2 years time you should pay more than today. Demand its removal immediately and reinforce your mistrust if you have discovered one.
Criterion 5 : the publisher's contract must be short, precise and any possibility of extension or price increase must be absent.
Criterion 6 : all licenses (managers, dispatchers, administrators and technicians) must be at the same price. Otherwise, this indicates either an ageing CMMS with reduced mobility (for solutions charging more for back-office licences), or a tool limited to managing interventions (for solutions charging only technicians).
Criterion 7 : the subscription price established per user per month and according to the modules you have selected, must be within a range of approximately 30 to 70 euros excluding VAT. Beyond that, you will pay too much, and you will pay less attention to the quality of the solution.
Criterion 8 : the price of the subscription must be all inclusive. it must include :

- Unlimited storage of your information, documents, photos, etc.
- Backups
- 24/7 Server Monitoring
- Telephone support 5/7 8H-18H
- Application maintenance
- Provision of continuous improvements without service disruption
- A consultant dedicated to your company, who knows your specific needs.
Criterion 9 : if it is normal that CMMS implementation costs for your company are applied for the launch of the project, including application setup, data recovery and training, they must remain reasonable and be clearly stated.
